The protection of personal data is pivotal to us as an association. On that account, this Privacy Policy seeks to encompass all of ELSA Tilburg’s data processing.

This Privacy Policy explains how The European Law Students’ Association Tilburg, or ELSA Tilburg (referred to as “ELSA Tilburg,” “we,” “us,” or “our” in the Privacy Policy), as the operator of the website https://elsatilburg.nl/ (the “Site”) and the services provided through the Site (the “Site and these services constituting the “Service”), collects and processes data when organising ELSA Tilburg’s operations. It also describes how we collect, use, and disclose the information we collect from you, as well as your privacy choices. You fully consent to the collection, storage, use, and sharing of your information as outlined in this Privacy Policy by using the Service.

I. Information Collected through the Service

We may enquire you for personally identifiable information that may be used to contact or identify you while using our Service (“Personal Data”). We collect, utilise, and store the information you provide us through Services we provide, such as when you register for membership, for an event and activities in ELSA Tilburg, fill out a survey, and contribute articles to the blog. Personal Data may include, but is not limited to, the following:

  1. Personal Identification Data (i.e. surname, first name, address, phone number, e-mail address, studies, year of study, IBAN account number, etc.)
  2. Participation in ELSA Tilburg activities
  3. Status of Membership
  4. Audiovisual Promotional Materials (i.e. photos, videos, etc.)
  5. Signature

The GDPR recognizes that certain types of personal information are more sensitive than others. This is referred to as sensitive personal information, and it includes health information, race, religious beliefs, and political preferences. We usually do not collect sensitive personal information about data subjects unless there is a justification to do so, such as any dietary requirements when attending a conference where we provide meals (which could imply religious beliefs or medical conditions) or when we need this information to ensure that we provide appropriate facilities or support to enable you to participate in our event.

Aside from that, we retain the right to process additional types of data, if necessary, for the reasons outlined in the data processing clause below.

II. Data Processing

ELSA Tilburg processes the personal information we gather for the following purposes:

  1. Providing and personalising our Service, e.g. ELSA Tilburg membership and participation in one of our activities.
  2. Taking care of your queries and requests.
  3. Keeping track and administering memberships.
  4. Exchanging personal information with third parties, e.g. email marketing software providers or sponsors, in order to offer you membership advantages.
  5. General administration for the benefit of the association and its members.

When you provide us with your personal information (as stated in section I), you are granting us permission to process it. Your information will be kept until you withdraw your consent.

    • Please bear in mind that personal data is associated with your membership subscription if you apply for membership. If you no longer wish to be a member of ELSA Tilburg, you may cancel your membership by August 1st of the academic year.
    • If you register your interest in an event, we will keep your information on record until a sufficient period of time has passed following the event’s completion.
  4. The Right to Erase
    This is sometimes referred to as the “right to be forgotten.” The fundamental concept underlying this right is that you have the right to request that personal information be deleted or removed if there is no compelling justification for its continuing processing. If you wish to be removed from our database, please send an email to info@elsatilburg.nl.
  5. The Right to Restrict Processing
    You may have the right to ‘block’ or suppress the processing of personal information in certain circumstances.
  6. The Right to Object
    You may have the right to object to the processing of your personal information in certain circumstances.

V. Security

To protect the personal information under our control, we implement a variety of technological and organisational security measures, which include but are not limited to:

  1. Persons who do not have a valid email account and do not have a particular invitation from the administrator of these documents (the Board Member concerned) do not have access to the personal data of our members, since we utilise ELSA Tilburg’s email network to access our online documents.
  2. Our measurements are evaluated on a regular basis.

VI. Amendments to this Privacy Policy

We reserve the right to make changes to our Privacy Policy at any time. If there are any substantial changes to our Privacy Policy, we will update it on this page. We will notify you by email and/or a prominent notice on our Service prior to the change taking effect, and we will amend the “effective date” at the top of this Privacy Policy.

It is recommended that you review this Privacy Policy periodically for any changes; modifications to this Privacy Policy become effective when they are published on this page.
